Studio Booking & Cancellation Policy
Please read this policy carefully before booking. By booking a session at Red Mile Records Inc., you confirm that you have read, understood, and agree to this Booking Policy in its entirety. This policy forms part of the binding agreement between you and Red Mile Records Inc.
1. Booking and Confirmation
1.1 How to Book
All sessions must be booked through our official Setmore booking link, accessible at redmilerecords.com/booking or via the link provided on our contact page. We do not accept verbal bookings as confirmed reservations.
1.2 Booking Confirmation
Your session time is not secured until you receive a calendar invitation and written confirmation email from Red Mile Records Inc. via Setmore. If you do not receive a confirmation within 24 hours of completing your booking, please contact us at bookings@redmilerecords.com or (403) 969-9224.
1.3 Minimum Session Length
All studio sessions carry a two (2) hour minimum booking requirement, regardless of service type. This minimum applies to recording, podcast, mixing/mastering consultations, and any other in-studio service.
1.4 Midnight Bookings
For sessions that span across midnight (e.g., 11:00 PM to 1:00 AM), you must ensure both calendar dates are booked consecutively in the Setmore system. Failure to book both dates may result in your session being terminated at midnight. No refund or credit is issued for sessions ending early due to incomplete booking.
2. Cancellation Policy
The 24-Hour Rule: A minimum of 24 hours' notice is required for all cancellations and rescheduling requests. This is strictly enforced.
2.1 Cancellations with 24+ Hours Notice
Cancellations submitted at least twenty-four (24) hours before your scheduled session start time will not be charged. You may reschedule to a new date and time at no extra cost, subject to availability. Cancellation requests must be submitted in writing via email to bookings@redmilerecords.com or through the Setmore system.
2.2 Cancellations with Less Than 24 Hours Notice — No Refund
Any cancellation submitted less than twenty-four (24) hours before the scheduled session start time is strictly non-refundable. The full booking fee is forfeited as liquidated damages to compensate the Studio for the lost time slot, staff scheduling, and fixed overhead costs. This policy applies regardless of the reason for the cancellation, including personal emergencies, unless otherwise agreed in writing by Red Mile Records Inc.
2.3 Rescheduling
Rescheduling requests submitted with at least twenty-four (24) hours' notice are accommodated at no additional charge, subject to studio availability. Rescheduling requests made with less than 24 hours' notice are treated as cancellations under Section 2.2 — the original session fee is forfeited and a new booking and payment is required for the new date.
Each confirmed booking may be rescheduled a maximum of two (2) times. Repeated rescheduling may require a non-refundable deposit to secure future bookings, at Red Mile Records' discretion.
3. No-Show Policy
A "no-show" occurs when a Client fails to appear at the Studio by their scheduled session start time without having provided prior written notice of cancellation or rescheduling.
- The full session fee is forfeited. No refund, credit, or rescheduling accommodation will be provided for no-show bookings.
- The Studio reserves the right to require a non-refundable deposit equal to fifty percent (50%) of the total session fee for any future bookings from a Client who has incurred a no-show.
- Repeated no-shows may result in the Client being denied future bookings at the Studio's sole discretion.
4. Deposit Terms
At this time, Red Mile Records Inc. does not require a general deposit for standard session bookings. Payment is collected at the time of booking through Setmore's integrated payment system.
However, the Studio reserves the right to require a non-refundable deposit for:
- Extended sessions of four (4) hours or more;
- Clients who have previously cancelled with less than 24 hours' notice;
- Clients who have previously incurred a no-show;
- Special event bookings, video production sessions, or group bookings.
Where a deposit is required, the Studio will communicate the deposit amount and terms at the time of booking. Deposits are applied to the total session fee. A deposit is forfeited in full if the session is cancelled with less than 24 hours' notice or results in a no-show.
5. Refund Policy
Red Mile Records Inc. operates a strict no-refund policy for completed sessions and for cancellations with less than 24 hours' notice, as detailed above. The following additional terms apply:
- Completed Sessions: No refunds are issued for sessions that have been completed, regardless of the Client's satisfaction with the creative outcome.
- Technical Interruptions: In the rare event that a session is interrupted due to equipment failure or circumstances within the Studio's reasonable control, the Studio will provide a make-good credit equal to the interrupted time. This credit must be used within ninety (90) days.
- Studio-Initiated Cancellations: In the unlikely event that Red Mile Records Inc. must cancel a confirmed session (e.g., due to a facility emergency), the Client will receive a full refund of any payment made and a priority rescheduling opportunity.
- Creative Dissatisfaction: Due to the subjective nature of audio production, no refunds are issued based on dissatisfaction with recording, mixing, mastering, or any other creative service. The revision policy in our Terms & Conditions applies.
6. Session Timing and Punctuality
6.1 Session Start Time
Your session begins at your booked start time, not your arrival time. If you arrive late, your session still concludes at the originally scheduled end time. No additional time will be added, and no reduction in fees will be applied for late arrival.
6.2 Setup and Teardown
You are responsible for all setup and teardown time — including instrument setup, cable connections, file transfers to external drives, and clearing the room — within your booked time slot. Please account for this when booking your session length.
6.3 Clearing the Room
To ensure the next artist's session starts on time, the Studio must be fully cleared of all Client and guest belongings by the scheduled end time. Delays in clearing the room that affect the next booking may result in an additional charge at the current hourly rate for the time overrun.
7. File Storage and Data Responsibility
While the Studio maintains session backups as a courtesy for up to ninety (90) days, Red Mile Records Inc. is not responsible for long-term storage of Client session files. Clients must bring an external drive to every session and take all session files, multitracks, and stems with them at the conclusion of the session. The Studio is not liable for data loss or corruption once the session has concluded.
8. Studio Conduct
We maintain a professional and inclusive creative environment. All Clients and their guests are expected to conduct themselves in a professional manner throughout the session. Prohibited conduct includes the use of illegal substances, smoking or vaping on premises, possession of weapons, and any form of threatening or aggressive behaviour. Violation of conduct standards may result in immediate session termination without refund. Full conduct terms are set out in our Terms & Conditions.
